ELTUBO LLC (Wyoming, United States) ("we", "us", "our") operates elTubo.io, a sales CRM available at https://eltubo.io, and is responsible for the personal information described in this policy. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our application.
This policy also describes how we handle the data of people who contact a business that uses elTubo.io through Instagram or WhatsApp.
By using elTubo.io, you agree to the practices described in this policy. If you do not agree, please do not use our application.
1. Information we collect
1.1 Account information
When you sign up, we collect:
- Email address
- Name (you can choose an alias)
- Role within the platform (Closer, Leader, Admin)
1.2 Platform usage data
We collect the information you enter into elTubo.io, including:
- Sales opportunities (contact name, status, notes)
- Daily sales activity reports
- KPI and goal settings
1.3 Google data (when you connect your account)
If you choose to connect your Google account, we request limited access to the following services with your explicit consent:
- Google Calendar: we read and create calendar events to sync sales appointments with elTubo.io. We only access events from the calendar you have linked to the app.
- Google Sheets: we read and write to specific spreadsheets that you select, to import or export sales opportunities.
- Google Drive: we only access the files you choose with the Google picker (for example, a call recording to analyze). We cannot see the rest of your Drive.
- Gmail: if you connect your Gmail account, we request the
gmail.sendpermission for the following uses:- Sending you daily sales activity reports to your own inbox at the end of the workday.
- Sending scheduled follow-up emails to your leads from your Gmail account. This lets you stay in touch with prospects directly from the platform, using your email identity as the sender.
elTubo.io's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
1.4 Instagram (Meta) data
If a business connects its own Instagram professional account through Instagram Login, elTubo.io receives:
- The connected account's ID, username, name, and profile picture.
- Direct messages (DMs) sent and received by that account, including attachments and media.
- Comments on the account's own posts (we use them for keyword replies).
- The name, username, and profile picture of people who message or comment on the account.
The Instagram access token is stored encrypted.
How we use Instagram data. We use it so the business's team can:
- See messages in a shared inbox.
- Assign conversations to its sales reps.
- Move leads through its sales pipeline.
- Reply to direct messages.
- Send private replies to comments and, if the business chooses, short public replies.
- Send, if the business turns it on, an automatic first reply to comments that include a keyword. That reply is labeled as automatic.
- Get, if the business turns it on, AI-generated reply suggestions (a person reviews them before sending) and conversation summaries.
We only access the connected account's own data. Instagram data is never sold, never used for advertising, and never used to build profiles outside the business's own workspace.
Deletion and control.
- The business can disconnect its Instagram account from elTubo.io at any time. When it does, we delete the stored access token and stop receiving and sending data for that account. Disconnecting does not erase the conversation history already stored in elTubo.io; to have it deleted, email us at soporte@eltubo.io.
- The business can also remove elTubo.io's access from its Instagram settings, which also stops access.
- Anyone can request deletion of their Instagram data through Meta. When we receive that request from Meta, we delete all of that person's conversations, messages, and media. They can also request it by emailing soporte@eltubo.io.
1.5 WhatsApp data
If a business connects WhatsApp, messages are sent and received through Kapso, a WhatsApp Business API provider, and are stored in elTubo.io to display conversations and scheduled follow-ups.
1.6 Call recordings and transcripts
If you connect your Fathom account, select a recording from Google Drive, or upload or paste a transcript, elTubo.io processes that recording or transcript to produce a call analysis (summary, the customer's pain points, objections, and suggested follow-ups).
2. How we use your information
We use the information we collect to:
- Provide, maintain, and improve elTubo.io
- Sync data with Google Calendar and Google Sheets according to your settings
- Send you daily sales activity reports to your Gmail at the end of the workday (if you connect the integration)
- Send scheduled follow-up emails to your leads from your Gmail account (contact sequences)
- Show the business's team its Instagram and WhatsApp conversations, and let the team reply to them and follow up (if the business connects those integrations)
- Generate call analyses from recordings or transcripts
- Generate reply suggestions and conversation summaries with artificial intelligence (see section 3)
- Generate sales reports and statistics visible only to you and your team
- Send you platform-related notifications (if you turn them on)
- Comply with legal obligations
We do not sell, rent, or share your personal information with third parties for marketing or advertising purposes.
3. Artificial intelligence
elTubo.io uses artificial intelligence service providers to generate call analyses, reply suggestions, and conversation summaries for the business. To do this, we send them the content each feature needs (for example, a call recording or transcript, or the messages in a conversation).
- Current provider: Google (Gemini API).
- We may also use Anthropic (Claude) to process the same kinds of data for these features.
AI outputs are suggestions: a person decides what gets sent.
4. Claude connector (MCP)
A business owner can connect their own Claude assistant to elTubo.io. If they do, the assistant can read, when the owner asks it to, that business's data in elTubo.io: sales opportunities, call summaries, team data, and internal notes. From that point on, Anthropic handles that data under the terms the owner accepted with Anthropic.
The owner can disconnect the connector at any time.
5. Storage and security
Data is stored in Google Firebase (Firestore), a secure database service from Google Cloud, and files are stored in Google Cloud and Firebase file storage. Access tokens for Google APIs and Instagram are stored encrypted and used exclusively for the actions you authorize within elTubo.io.
We take reasonable technical and organizational measures to protect your information against unauthorized access, loss, or destruction. However, no method of transmitting data over the Internet is completely secure.
6. Data retention and deletion
We keep your data while your account is active. If you choose to delete your account, we will delete or anonymize your personal information within 30 days, unless the law requires us to keep it longer.
To request deletion of your account and data, contact us at soporte@eltubo.io.
You can disconnect elTubo.io's access to your Google account at any time from "Configurar Conexiones" (Connection settings) in the app, or directly at myaccount.google.com/permissions.

7. Data sharing
We only share your information in the following cases:
- With your team: members of your team in elTubo.io (Leaders, Closers) can see opportunities and reports according to the permissions assigned to them.
- Service providers: we use the following providers to deliver the service. They are subject to their own privacy policies.
- Google LLC: Google Cloud and Firebase (hosting, database, and file storage in the United States) and the Gemini API.
- Anthropic, PBC: Claude, as described in sections 3 and 4.
- Kapso: sending and receiving WhatsApp messages.
- Lemon Squeezy: payments and billing, as merchant of record. elTubo.io does not store full card numbers.
- Meta Platforms: Instagram and WhatsApp APIs, only to provide the features the business turns on.
Notifications to your own browser or phone are sent through the browser's push notification service, with end-to-end encrypted content.
- Legal obligation: if required by law or to protect legal rights. We only disclose data to authorities when the law requires us to.
8. International transfers
Your data is stored and processed in the United States. If you use elTubo.io from another country, your information will be transferred to and processed in the United States.
9. Your rights
You have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data ("right to be forgotten")
- Withdraw consent for Google access at any time
- Disconnect your Instagram account or the Claude connector at any time
- Export your data in a readable format

10. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new version on this page and updating the date. We recommend reviewing it regularly.
